Vendor Impersonation Fraud: A Growing Threat to Businesses

Most business owners work hard to build strong relationships with trusted vendors and suppliers. Unfortunately, cybercriminals know this and are increasingly taking advantage of that trust through vendor impersonation fraud, also known as payment redirection fraud. This type of scam is one of the fastest-growing causes of financial loss for businesses, and it can happen to organizations of any size.
These scams often begin with what appears to be a legitimate email, invoice, or phone call. A criminal poses as one of your regular vendors, accountant, or supplier and requests that you update their wire transfer or ACH payment information. The request may look completely authentic, using a familiar logo, email signature, or an email address that's only slightly different from the real one. If the payment is sent to the new account without verification, the money is typically transferred directly to the fraudster—and recovering those funds is often impossible.
Fortunately, there are warning signs that can help protect your business. Be cautious of:
  • Urgent requests to change payment instructions.
  • Email addresses that closely resemble, but don't exactly match, your vendor's legitimate address.
  • Anyone asking you to skip your normal approval or verification process.
One of the best ways to prevent these losses is to establish a policy of independently verifying any payment changes by calling your vendor using a trusted phone number—not the contact information provided in the email or invoice.
Even with strong internal controls, mistakes can happen. That's why it's important to review your business insurance and determine whether you have coverage for financial losses caused by social engineering or fraudulent payment instructions. Traditional business insurance policies may not automatically include this protection, so it's worth discussing your options with your insurance agent.
